There are less than two weeks left to go before Cambridge welcomes back its former students to enjoy and relive all that the University has to offer. This email provides all of the information you will need to ensure you enjoy your Alumni Weekend.


Please remember...

Make sure you bring a copy of your itinerary with you, which you will have received when you made your booking. It is also helpful to bring with you a copy of the brochure if you have one. The brochure is available to download as a pdf from our website. You will find this and any other information (including transport, parking, religious services and disabled access information) you may need for the Weekend on our website.

If you are unable to go to an event, please let the staff at the Help Desk know as soon as possible so that the places can be offered to other people. We are unable to offer a refund on any cancelled bookings.


Help Desk

St Edmund's College

The CARO team will be manning the Help Desk from 8.45am – 5.00pm* each day and will be available for general enquiries, changes to existing bookings and on the day bookings. You will find the Help Desk at the University Centre on Friday 24 and Sunday 26 and at the Law Faculty building on Saturday 24 only. (*4pm on Sunday).

Name badges
You will not need to register when you arrive but please come to the University Centre during the day on Friday to collect your name badge. If you are arriving on Saturday you will be able to collect your name badge from the Law Faculty.


Lectures


Venue information for the lectures is available from our website. Please download and bring a copy of this with you so you know where your lectures are. Maps are also available to download from our website.

We kindly ask you not to film or record the lectures in any way. Please remember to switch off your mobile phone during each lecture.

Reading lists and lecture handouts
To complement the lectures a suggested reading list to is available to download from our website. Lecture handouts will be available at the start of each lecture.

Heffers bookshop will have a book stall on the Lower Ground floor of the Law Faculty building where they will be selling selected titles from the reading list.


Catering


The Fairfax Rhodes Reading Room, The Union Society

Pre-booked packed lunches will be available to collect from the marquee on the Sidgwick Site lawn; we are sorry but you will not be able to purchase additional packed lunches on the day. Food will be available to buy from the Sidgwick Site buttery but please bear in mind that with the high number of visitors on Saturday lunchtime it can get extremely busy.

We will supply free fair trade tea and coffee on Saturday before and during the lecture breaks. This will be available from the marquee on the Sidgwick Site lawn.

The University Centre is open for refreshments during the weekend and provides a wide range of facilities, including the Main Dining Hall, Riverside Restaurant, Granta Bar and Grad's Cafe with free internet access.

Alumni who have pre-booked for the Hot Fork Buffet from 12.30pm – 1.30pm on Saturday are reminded that they are responsible for making their own way to and from the University Centre.


Transport and Parking


Alumni and guests are responsible for making their own way to events during the weekend (unless transport for a particular event is available and this must have been booked in advance). For more information about transport and parking please see the website.

(Pre-booked) Parking vouchers for the University Park and Cycle site will be posted in the next couple of days. If you haven't already booked parking and would like to do so please come and see us at the Help Desk. Parking facilities in Cambridge are very restricted and visitors are advised to use public transport. For more information please visit our website.


Other


Alumni Advisory Board
Meet members from the Alumni Advisory Board during the weekend and find out how you can volunteer by visiting the information desk next to the Help Desk.


First Aid
If you need emergency assistance during the weekend please come to the Help Desk or alert any member of the CARO team. A St John Ambulance team will be on duty for any medical emergencies during the Weekend.


Going Green
We are on a mission to reduce the amount of waste paper that Alumni Weekend can generate. During the Weekend please put any waste paper in one of the green recycling containers. Clearly labelled bins will be provided in the marquee to recycle all packaging and any food waste from the pre-booked packed lunches. Please help us by putting your waste in the appropriate bin.

We will recycle your name badge as well so please drop it into one of the badge containers as you leave or hand it back to a member of the CARO team.


Data Protection

All information which you have supplied (either via the online booking system or via a postal booking form) is securely held by the University and will be treated confidentially for the purposes of this event only. Please read the Data Protection Statement – How we use your data (below) for further details.

CAMCard

Remember to bring your CAMCard with you as you can get some great discounts in local restaurants and shops including Cambridge University Press and Heffers. For full details on the range of benefits are available on our website.

Filming and Photography

We would love some of you to give a short piece to camera on why you enjoy coming to Alumni Weekend. If you have a particular message which you would like to share please find a member of the CARO team or look out for the camera!

The film will be available on our website after the event.

We will be running a competition to find the best photo; one that you feel sums up the magic of the Alumni Weekend. Remember to bring your camera and submit your favourite photo to the CARO office or upload it to Facebook. The winner will receive a free weekend registration to next year's Alumni Weekend 23 – 25 September 2011.

>Cambridge Ideas

General filming/photography will be taking place during some of the events. If you do not wish to appear in the film or photos, please make yourself known to the camera person.

The photographs and films will be used by the University of Cambridge for the purpose of promoting its activities and may be published on the University’s websites and circulated to the press and other media organisations for publication, transmission or broadcast. If you have any questions about this please contact CARO.

Guest List

We will publish your name, College, subject and matriculation year in a guest list, which will be made available to other attendees for the purposes of this event only. If you choose to opt out of having your details included in this guest list then please contact CARO before Monday 20 September.

We may also share this information (name, College, subject and matriculation year) with your College and let them know that you attended the event. Again, if you do not wish your information to be used in this way, please contact CARO before Monday 20 September.

Data Protection Statement - How we use your data

All information is securely held by the University Development and Alumni Relations Office and will be treated confidentially and with respect for the benefits of the University, its constituent parts and the Cambridge Colleges. The information may be available to colleges and departments, our office in the United States, recognised alumni societies, sports and other clubs registered with the University, and to agents contracted by the University for purposes directly related to the interests of the University and / or its alumni. Information may be used for direct marketing purposes which include: alumni activities, the sending of CAM and University publications, notification of alumni events and of programmes involving academic and administrative departments, fundraising, the promotion of benefits and services such as CAMCard, University credit card and the alumni email forwarding service. This information may be communicated electronically.

The information will not be disclosed to external organisations other than those acting as agents for the University

If you do not wish your information to be used in this way, or you do not wish to be contacted by electronic means, please contact the University Development Office.

Homerton Members should note that the Development Office and Homerton College now share an alumni database which both parties can access with shared information only pertaining to pertinent members being viewable to both organisations.

Whilst every effort is made to carry out the programme as advertised, all events are subject to change or cancellation.
